VMS Coordinator / Travel Staffing Coordinator

Palm Health Resources, a fast-growing healthcare staffing firm, is seeking a VMS Coordinator / Travel Staffing Coordinator to support our locum tenens and travel staffing operations. This role ensures smooth coordination between our recruiters, facilities, and VMS platforms while maintaining accuracy across contracts, assignments, and provider documentation.
Position Overview
The VMS Coordinator supports daily recruiting operations by managing VMS submissions, distributing inbound job orders, assisting with contract processes (PCL/CCL), and keeping provider assignments on track. This is a high-volume, fast-paced role that requires strong organization and communication.
ResponsibilitiesVMS Management
- Monitor all VMS platforms and distribute new job orders to the correct recruiting team.
- Upload, submit, and update candidate profiles in VMS portals.
- Track assignment statuses, credentialing progress, and compliance updates.
Assignment & Operational Support
- Liaise between recruiters, credentialing, facilities, and leadership to keep assignments moving.
- Communicate urgent updates, missing information, and job changes.
- Assist with timecard reminders, credentialing follow-ups, extensions, and general assignment support.
Contract Coordination
- Assist with Provider Contract Letters (PCL) and Client Contract Letters (CCL).
- Maintain accuracy of rate sheets, contract terms, and assignment details.
- Ensure all documentation is properly organized and stored per PHR standards.
Communication & Internal Support
- Coordinate with Assignment Coordinator, recruiters, and leadership to ensure job orders are prioritized.
- Redirect VMS job requests to the appropriate team member (per current workflow: outstanding VMS requests → Jacob).
- Provide leadership with consistent updates on VMS activity and potential bottlenecks.
Qualifications
- Strong organizational skills and attention to detail.
- Ability to work quickly and accurately in a high-volume environment.
- Prior experience in staffing (travel staffing, healthcare staffing, locum tenens, VMS, or operations) strongly preferred.
- Excellent communication skills and ability to collaborate across departments.
- Tech-savvy; comfortable working in multiple systems (VMS platforms, Salesforce, internal tools).
